How to Hand a Workflow to a Teammate — Edge Drop Guide

A workflow that lives only in one person’s Win+V panel cannot be handed over. Pins are invisible to the next hire. Cloud sync may be off. The laptop may be wiped on Friday.

This is a one-page SOP template for teams that copy for a living: support, QA, research, design ops. Fill it in. Store it next to the rest of the runbooks. Do not store it on the clipboard.

What the teammate must know about Windows

State the official limits in the SOP so nobody “discovers” them during an incident:

  • History is off until Win+V > Turn on, or Settings > System > Clipboard.
  • 25 items. Unpinned extras fall off.
  • 4 MB per history item. Huge snips may paste once and never join the list.
  • Formats: text, HTML, bitmap. Explorer files are not history cards.
  • Unpinned history clears on restart. Pins remain until deleted.
  • Sync, if allowed, is account-tied and aimed at text.

Link Microsoft Support in the SOP. Do not paraphrase from memory six months later.

The one-page template

Copy this into the team wiki. Replace the brackets.

#### 1. Default switches

  • Clipboard history: [On / Off]
  • Clipboard history across devices: Off unless [named exception]
  • Automatically sync text I copy: Off

  • Third-party managers allowed: [None / list]

#### 2. What to pin

Only items that are public, stable, and used this week.

Examples we allow:

  • [status page URL]
  • [current sprint board URL]
  • [non-secret template sentence]

Examples we forbid:

  • Credentials, OTPs, tokens, .env lines
  • Customer PII, health, student, or payment data
  • Unreleased UI and legal holds
  • Entire briefs, syllabi, or brand kits (those have real homes)

#### 3. What expires

Unpinned history may die at reboot before these timers. Do not use history as the only copy.

#### 4. What never to copy

  • Production secrets. Use [vault product].
  • Full customer exports.
  • Password-manager items (use fill, not copy) unless [break-glass procedure].

If a secret is copied: delete the Win+V card, Settings > Clear clipboard data, clear any manager, rotate the secret, notify [owner].

#### 5. App-specific paste notes

Paste behavior changes by product version. Check vendor help if something looks wrong.

  • Outlook: classic client uses Word paste options (Keep Source / Merge / Keep Text Only). New Outlook may not expose the same defaults.
  • Slack: Shift+Enter for newlines; drag files; do not paste secrets into channels. Formatting depends on markup versus toolbar.
  • Jira: Ctrl+V into the description or comment usually attaches an image; Cloud and Server have differed. If paste fails, upload a PNG.
  • Figma: Ctrl+V for objects; Ctrl+Shift+C Copy as PNG; desktop versus web clipboard access differs.
  • Photoshop: paste = pixels; Place = file / Smart Object; Export Clipboard preference affects other apps.

  • Briefs: [LMS / Confluence / Notion]
  • Brand: [DAM / drive folder]
  • Queries: [repo path]
  • Snippets: [expander / snippets file]
  • Secrets: [vault]

If a new hire would not find it without opening Win+V, it is in the wrong place.

How to walk someone through it

Do not email the SOP and walk away.

  1. Sit at their PC (or a clean profile).
  2. Enable or confirm history per the default switches.
  3. Copy three test strings. Show Win+V, pin, unpin, delete, Clear all.
  4. Show Settings > Clear clipboard data.
  5. Show the vault fill path so they do not copy the staging password.
  6. Paste a harmless table into Outlook or Slack and show Keep Text Only / Shift+Enter.
  7. Show the real library locations.
  8. Watch them run the end-of-day clear once.

What not to hand over

  • An export of personal clipboard history
  • A shared Microsoft account “so sync works”
  • A screenshot of pins that include a token
  • A third-party manager database file

Handover is a procedure, not a data dump.

Remote and café exceptions

If the teammate works from cafés or a home PC, add two lines:

Optional software

Name tools only if the team standardizes on them. “Install whatever” is how secrets grow a second home.

If the team’s missing job is visual staging and file drag-out, Edge-Drop is one optional local shelf. Put it in section 1 only if it is actually standard, and add it to the wipe list in section 6. It does not replace the wiki.

Onboarding week, day by day

  • Day 1: Walk through the SOP at their PC. Three test strings. Vault fill. End-of-day clear.
  • Day 2: They file one ticket or one parent email using the documented paste options. Watch Keep Text Only once.
  • Day 3: Pairing wipe drill. Intentionally copy a fake token, then run the post-session steps. Fake tokens only.
  • Day 5: They run the Friday pin review alone. Compare their remaining pins to the allow list.

If day 5 still shows a password pin, the SOP is not trained yet. Do not add more tools.

What success looks like

A teammate who can answer, without opening Win+V:

  • Where the brief lives
  • Where the hex lives
  • Where the secret lives
  • What they are allowed to pin
  • How to clear history

If those answers require a screenshot of someone else’s pins, the handover failed.

Common handover failures

  • Emailing a .json export of a personal clipboard manager
  • “Just turn on sync with this shared Microsoft login”
  • A Notion page that is really a dump of 80 pins
  • No vault access on day 1, so they copy the staging password

Fix those before adding screenshots of Win+V to the wiki. The wiki should describe homes, not clips.

Remote handover

If the teammate is remote, share a clean VM or pair on their PC via an approved tool with clipboard bridging off. Walk through Settings on their actual laptop. A video of your pins is not a handover. They must click Clear on their own Settings page once so the muscle memory exists before an incident, not during one. Write the Settings path in the SOP even though it feels obvious. New hires will not guess System > Clipboard. Spell the path every time, including on managed PCs where the switch may be gray.
