Accountants: stage invoice lines, screenshots, and portal pastes locally when the work is a hop between Excel, a PDF, and a government or bank portal that fights copy-paste. 1. Source files stay in the client folder on the firm share or local encrypted disk. The shelf is not backup.

6. Pause capture while copying from a password manager or when a one-time code is on screen. Secrets. 2FA codes: type from the authenticator or allow the password manager to fill. Do not pin codes. They expire; the pin does not know that.
7. After submit: delete unpinned cards. Copy a dummy string to overwrite the live clipboard. If you used Win+V, delete those items too. Shared busy-season machines: wipe at every handoff.

Phishing notices tell you to copy a case ID into a lookalike site. The shelf does not make that safer. Open the portal from a bookmark IT gave you, not from the email. If you must copy a notice ID, copy only that ID as a text card labeled NOTICE | client code, never the whole email.

When Edge Drop fits / does not

Fits. You hop between Excel, a PDF, and a portal on one Windows PC. You need this login session’s two labeled figures and one PDF on the edge of the screen. Sync is off. You will wipe after submit. No AI transform of client text.

Does not. You needed tax positions, filing instructions, or a deductible opinion — that is a CPA, not a clipboard post. You needed a SOC-certified vault. You needed to pin twenty client IDs at quarter-end — that is an unlisted spreadsheet of clients on a laptop; use the practice-management app. You needed payroll bank data on a card. You needed cloud OCR. Policy forbids clipboard managers. Thin VDI cannot spare Electron RAM; Ditto or Win+V may be the allowed path.

Why “local-only” is the whole product requirement

Cloud clipboard sync is convenient for people who paste memes across a phone and a PC. It is a bad default for a machine that copies client names. Microsoft documents the toggle; leave it off unless IT explicitly enabled it and you know what leaves the building.

Excel, PDFs, and portals

• Excel: copy visible cells you need, not whole sheets with hidden columns of PII. Paste into the portal as text; keep the workbook as the record.
• PDF invoices: file drop. Do not screenshot a 20-page PDF into history.
• Portals that block paste: that is often a script, not a clipboard-manager bug. Follow the portal’s own input rules; do not fight a government site with a macro.

Ditto remains better for searching a figure you copied this morning if you insist on a tray list — with short retention. A shelf is better when you drag a PDF while the portal is focused. Do not run two watchers.

Do not keep a pin of last year’s extension payment amount. Wrong year is a filing error. The workpaper has the year in the filename; a clipboard card often does not.

Shared busy-season machines

Temp staff on a shared Windows login will see every pin you left. Create a profile per person or wipe at every handoff. The same wipe as teachers: unpinned shelf, Win+V clear all, dummy copy, sign out of the portal.

Payroll bureaus: employee bank data is not an “invoice line.” If a portal requires a re-key, type from the payroll system’s own screen, not from a clipboard card that will still be there at lunch.
