Recruiters: stage profiles, notes, and job links without cloud clipboard sync when the ATS, LinkedIn, and email all want a different paste. A local Windows shelf is a this-call strip: the posting URL, a candidate profile URL, and two sentences you will drop into the outreach. It is not an ATS. Do not treat it as long-term resume storage. If a sourcer leaves, their pins leave with the laptop — or worse, stay on a shared login. Put durable notes in the ATS.

No long-term resume storage claims: even if a manager keeps history “forever,” that is the wrong place for CVs. Retention should be short. If the tool can clear unpinned on restart, use it on a recruiting laptop.

Numbered this-call workflow

Open the req in the ATS. Copy the public or internal job link to a text card labeled JOB | 1044.
Open the profile (LinkedIn, GitHub, a PDF in the ATS). Copy the URL, not the whole page HTML. Label CAND | initials only. Do not paste a full CV as HTML into a card (tracking pixels, huge HTML, hidden phone numbers).
Draft the note in the ATS or in a text card NOTE | 1044 — no full SSN, no salary the candidate did not ask to put in email.
If you must move a PDF, drag the file from the ATS download folder onto a local shelf (Edge Drop, hover or Alt+C, Apache-2.0, Windows 10/11, local), then into the email once. Delete the card. Files vs contents.
Do not OCR a passport from a “right to work” email onto a card. That document goes in the HR path, not the clipboard.
After send: delete unpinned cards. Do not keep a week of profiles on a laptop that goes through airport security. Conference days: copying twenty LinkedIn URLs onto a shelf on a hotel laptop is a theft risk. Export to the ATS as you go, or a single encrypted note the firm approved. Clear the shelf before you close the lid.
Leave Windows clipboard sync off. A candidate’s email plus a compensation sentence does not belong on a Microsoft/work account pipe. Phone hops (send a PDF to your phone in the hallway) are share tools: LocalSend, Flitdrop, the ATS mobile app — LocalSend vs Edge Drop. A desktop shelf will not appear on iOS.

Passwords for boolean-search tools and email: vault only. Secrets. Do not run two watchers.

When Edge Drop fits / does not

Fits. The gap is “job link, profile link, and a PDF on the edge of the screen while Outlook is open.” You will label cards, delete them after send, and keep the pipeline in the ATS. Sync is off. The laptop is yours, not a shared agency login.

Does not. You wanted a backup of all inbound CVs in Edge Drop. That would be ungoverned storage of personal data. You needed GDPR deletion, audit logs, or offer letters. You needed boolean strings as 15 pins instead of ATS saved searches. You needed to WhatsApp CVs to a hiring manager — the shelf will not make that compliant; use the ATS share link. You needed clipboard sync to paste on your phone at a conference. Agencies that share a “research” Windows login: that profile’s history is a pile of candidates. Separate logins. Wipe at end of day anyway.

InMail, boolean, and the “spreadsheet of everyone” problem

Boolean strings you reuse belong in a snippet tool or ATS saved search. If you insist on pins, pin the string, not the result list. A result list is other people’s names.

InMail templates: helpdesk-style — keep them in the outreach tool so tracking links and legal footers stay current. A 2024 pin will miss the new disclosure sentence.

LinkedIn Recruiter project links are URLs — fine as short-lived text. The notes field in Recruiter is the durable place. Copying a whole notes pane into a card duplicates candidate data without access control.

Referral bonuses and “who sent this candidate” notes belong on the ATS candidate record. A text card with a name plus a bonus amount is a compensation leak on a shared desk. Stage the req link and the candidate URL only; type the bonus from the policy page.

Offer letters stay in the HRIS. A screenshot of a salary band on a shelf is how a contractor on the shared laptop learns the band. If you need the number in an email, type it from the system of record and do not leave the bitmap.

ICO — recruitment and data protection is a UK example of why CVs are not trivia. It is not a reading of your jurisdiction.

Sourcers who live in the mouse: the shelf is for this req’s links and this PDF. Keyboard search of last month’s copies is Ditto — and a privacy smell if retention is infinite.
