Source + Translation on One Shelf: Clipboard Workflow for Translators

A clipboard workflow for translators is useful when the CAT tool, the PDF, and the client portal all disagree about copy-paste. The pattern is pairing: one source card and one target card (plus maybe a glossary hit) sitting together on a local Windows shelf while you type elsewhere. This is not a TMS or CAT replacement. Trados, memoQ, Phrase, OmegaT, and the client’s portal still own translation memory, terminology, and delivery. The shelf is a scratch space for the awkward hops those tools do not cover.

Win+V stores 25 text / HTML / bitmap items, 4 MB each, and drops unpinned history on restart. It does not group “source + target” as a pair. It does not hold reference PDFs as files.

Microsoft’s browser Edge Drop was retired in Edge 152 (27 August 2026). Do not “help” a client by dropping their PDF into a random OneDrive-shaped clone unless they asked for a share tool.

Source + translation on one shelf: the pairing pattern

Name cards so the pair is obvious even when you are tired.

Support agents hit a similar macros-versus-shelf split — support agents — but they have canned responses in the helpdesk. You should keep reusable client-approved wording in the termbase, not as 200 clipboard pins.

Numbered workflow: SRC | ID, then TGT | ID

1. Copy source from the CAT or PDF as plain text when you can. Rich HTML from a browser often brings span soup into the target field. Paste into Notepad first if the portal mangles formatting — or keep a plain-text card on the shelf.
2. Put the source on the shelf immediately. First line of the text card: SRC | 1042 (segment or job ID). Do not rely on “the last copy.”
3. Draft the translation in the CAT (preferred) or in a clean editor if the segment is outside the TM (an email, a slide title, a UI string in a screenshot).
4. Put the target next to it. First line: TGT | 1042. Same ID. If your shelf supports stacks, stack SRC+TGT so they drag as a group. If not, pin both and keep IDs aligned. 5. Paste once into the destination. Then unpin or delete the pair. Yesterday’s sentence in a live TM is a feature; yesterday’s sentence on a clipboard is how a wrong segment lands in the next email.
6. Keep the scan or style-guide PDF as a file card if you must drop it into a second-monitor reader. Win+V will not hold that PDF. Do not dump an entire OCR output onto the shelf.
7. At job delivery, clear unpinned history. Pause capture (incognito) when copying from a password manager or a vendor portal session token. Stop managers from saving secrets. Leave Windows clipboard sync off.

Edge Drop (hover or Alt+C, Apache-2.0, local, Windows 10/11) is built for mixed cards on one edge. It is not bilingual concordance. Search in Ditto/CopyQ is better if you insist on mining old copies — usually you should not. Tray vs shelf: Edge-Drop vs Ditto.

When Edge Drop fits / does not

Fits. The CAT is full screen. You still need a source sentence, a UI screenshot, and a draft on the monitor edge for hops the CAT will not stage: a Slack screenshot, a PDF caption, a portal that strips tags. You want OLE drag for the style-guide PDF. You will label pairs with IDs and wipe at delivery. No cloud sync.

Does not. You thought a shelf would replace Trados, memoQ, Phrase, or OmegaT. It will not do TM leverage, tags, or package delivery. You wanted to build a personal TM from clipboard history — alignment, dates, and client separation will be wrong. You wanted to machine-translate every copy through a cloud “AI transform” — that is a send of client text unless the contract allows it and the tool is local. What the shelf is for (narrow)

Good hops:

• A term the CAT will not let you copy from the preview.
• A screenshot of a UI the developer sent in Slack, plus the string you will put in the resource file.
• A client style sentence you reuse today (pin it; it is not confidential).
• A PDF style guide file you drop into a second monitor’s reader, then return to the CAT.

Bad hops:

• The entire bilingual review as 40 cards.
• Building a personal TM from clipboard history.
• Cloud OCR or vision buttons when the contract forbids sending scans.

Privacy for other people’s words

Freelance and in-house translators sit on NDAs. Practical habits:

• Leave Windows clipboard sync off. It uploads text to a Microsoft or work account when enabled.
• Do not put source that includes names, medical content, or credentials on a long-lived pin.
• A local shelf is still on that PC. Disk encryption and a lock screen matter more than the brand of overlay.
• Share vs shelf: Cliff Drop, QRDrop, Flitdrop vs Edge Drop. Sending the client PDF to a phone is a hop tool, not a clipboard overlay.

Working a scanned PDF versus a CAT grid

Not every job arrives as an XLIFF. A client emails a scan. The CAT cannot segment it cleanly. The honest tools are OCR in a local app (or the CAT’s own PDF filter) and then the pairing pattern on the leftover strings that still will not import: a figure caption, a stamp, a UI label in a screenshot.

Keep the scan as a file card so you can drop it into the OCR tool again. Keep the caption as SRC | fig3. Do not dump the entire OCR dump onto the shelf — that is how a name in a footer becomes a pin you forget. If the contract forbids cloud OCR, do not use a clipboard “AI vision” button. That button is a send.

Glossaries: a two-column term list belongs in the CAT termbase. A single disputed term for today’s stand-up can live as a pinned text card TERM | widget = gadget and then get promoted into the termbase after the PM agrees. The shelf is the hallway; the termbase is the office.

Failure modes

• HTML in, broken tags out. Paste special / plain text.
• 4 MB bitmap of a whole page. History drops it. Save a PNG file and stage the file.
• Two watchers. CAT’s own clipboard ring plus Ditto plus a shelf. Pick one OS watcher.
• ID-less cards. After three segments, you will paste the wrong target. Prefix SRC/TGT.
• Pinned confidential source. Pins survive restart. Unpinned Win+V does not. Treat pins as public boilerplate only.

FAQ

Can a clipboard shelf replace Trados or memoQ? No. It does not do TM leverage, tags, or package delivery. Keep bilingual work in the CAT.

Should I enable clipboard sync to draft on a phone? Not for client source. Use the TMS mobile story if it exists, or a file the contract allows.

Does Win+V pair two clips? No. It is a flat 25-item list of text, HTML, and bitmaps. It will not hold a reference PDF as a file card.

Is cloud AI on a clipboard card OK for NDA work? Only if the contract and the PM allow that send. A local shelf does not make a Transform button local. Treat optional BYOK tools as an explicit upload.
