Excel and Clipboard History: What Win+V Actually Keeps

When you copy cells in Excel with Clipboard history turned on, Win+V keeps a plain-text, HTML and picture version of the range. It doesn't keep Excel's own format, so a range pasted later from Win+V arrives as values and basic formatting, not formulas. For Excel-to-Excel pastes that need formulas, paste straight away with Ctrl+V while Excel still holds the copy. Office also has its own separate Office Clipboard, which holds up to 24 items.

What Excel puts on the clipboard when you press Ctrl+C

A cell copy isn't one thing. Excel offers the same range in many formats at once, and the app you paste into picks the richest one it understands. On a current Microsoft 365 build, a plain Ctrl+C on a small range offers, among others:

• Tab-separated text and CSV, which Notepad and most text fields use
• HTML, which Word, Outlook and web editors use to rebuild a table
• Rich Text Format (RTF)
• Excel's own formats (Biff12 and XML Spreadsheet), which another Excel workbook uses to keep formulas, number formats and the grid
• Picture formats (Bitmap and Enhanced Metafile), which is why Paste Special > Picture works after an ordinary copy

The text version holds calculated values. A cell containing =2+3 is copied as 5 in the text and HTML formats; only Excel's own format carries the formula. Copying formulas vs values explains how Excel decides which one you get.

What Win+V keeps from that copy

Microsoft documents that clipboard history stores text, HTML and bitmap items of up to 4 MB each. From an Excel range, that means history keeps:

So the Win+V item is a snapshot of what the cells showed, not a live copy of the workbook. Paste it into Excel an hour later and you get values. Paste it into Word and you usually get a table. There's no sheet name, no formula and no link back to the source.

Why an Excel copy might not show up in Win+V

If you copy cells and the item never appears in the panel, check these in order:

1. Clipboard history is off. Press Win+V. If it asks you to Turn on, nothing has been recorded yet. How to enable clipboard history in Windows 11 has the steps.
2. The copy is too big. History skips any item over 4 MB. A large or heavily formatted range, especially once its picture version is counted, can pass that limit. Ctrl+V still pastes it; it just never joins the list.
3. You copied the file, not the cells. Copying a workbook in File Explorer is a file copy, and history doesn't store files. Windows clipboard history does not store files covers that gap.
4. Something is excluding the copy. Apps can mark clipboard data so Windows leaves it out of history. If copies from Notepad appear but Excel copies never do, start Excel in safe mode (excel /safe from the Run box) to rule out an add-in.
5. History itself has stalled. If nothing new appears from any app, work through Win+V not working on Windows 11.

Pressing Esc in Excel empties the clipboard

After a copy, Excel draws a moving border around the range. Pressing Esc removes the border and also empties the clipboard, so Ctrl+V has nothing to paste. The Win+V item is unaffected: press Win+V and paste from there instead.

Hidden rows come along

An ordinary copy of a range with rows hidden by hand or by grouping includes the hidden rows (desktop Excel usually leaves out filtered rows), and the Win+V item faithfully keeps them. Charts and pictures

Copying a chart puts image formats on the clipboard (PNG, bitmap and others) alongside Excel's own chart data. History can keep the bitmap if it's under 4 MB, so the chart comes back as a picture, not as an editable chart. The Office Clipboard is a different store

Excel, Word, PowerPoint, Outlook and the other Office apps share their own clipboard, separate from Win+V:

To open it, select the small launcher arrow in the Clipboard group on the Home tab. Under Options at the bottom of the pane you can choose Show Office Clipboard When CTRL+C Pressed Twice or Collect Without Showing Office Clipboard. Which to use for what

• Paste a range into another sheet with formulas intact: copy and paste immediately with Ctrl+V, or use Paste Special for formulas, formats or transpose.
• Collect several ranges and paste them into Word or another workbook: the Office Clipboard.
• Reuse a few values in email, a browser form or chat later in the day: Win+V.
• Keep extracts after a restart: pin them in Win+V, or use a clipboard manager that saves history to disk. The best clipboard managers for Windows compares them.

FAQ

Can Win+V paste Excel formulas?

No. History stores only text, HTML and bitmap, and none of them contain the formula. Paste immediately with Ctrl+V while Excel still holds the copy (before you press Esc or copy something else).

Why does a range from Win+V paste as a picture in some apps?

The history item includes a bitmap of the cells. Apps that prefer images may choose it over the text or HTML. In Word or Outlook, use Paste Special or the paste options button to pick the table or text version instead.

Does the Office Clipboard show up in Win+V?

No. They're separate. Items you collect in the Office Clipboard pane don't appear in Windows clipboard history unless the same copy also qualified for history.
