How to Copy From Google Docs to Word Without Chaos

Google Docs and Microsoft Word both speak “documents.” They do not share a clipboard format that preserves styles 1:1. A Ctrl+C in Docs publishes HTML (and plain text) that Word interprets with Keep Source Formatting by default. The result is extra spans, “Normal (Web)” paragraphs, theme fonts that are not the Word theme, and lists that almost-but-not-quite continue numbering.
This guide splits move the whole file from steal a paragraph, and names what actually survives.
Prefer a file when the whole document matters
Google’s export is the honest conversion:
- In Docs, File > Download > Microsoft Word (.docx).
- Open the
.docxin Word. - Accept that styles were mapped, then apply the Word template’s styles.
This path uses Google’s converter, not the clipboard. Images, comments, and suggestions have their own limits (suggestions may become accepted or be dropped depending on the export; verify). It is still better than a 20-page HTML paste.
If the destination must stay in Docs, do not detour through Word just to print.
When the job is one paragraph
Word should not keep Docs’ clothes
- Copy in Docs.
- In Word, Paste Text Only: Ctrl+Shift+V on current Microsoft 365 Word, or Home > Paste > Keep Text Only.
- Apply Body / Normal / Heading n from the Word template.
Microsoft’s paste article: Keep Text Only discards formatting and nontext elements; text takes on the destination paragraph style. That is the correct outcome for a quote, a comment, or a paragraph moving into a styled report.
Docs’ own Ctrl+Shift+V is “paste without formatting” inside Docs. It does not change what Word does with a later paste. Official Docs shortcuts: Google Docs keyboard shortcuts.

When some structure should survive
Use Merge Formatting (Paste Options) if:
- Bold/italic meaning must remain
- A short list should stay a list
- Hyperlinks are the point
Then immediately apply the destination list style and character styles. Do not leave “List Paragraph + Calibri 11 + blue” in an Aptos template.
Keep Source Formatting is for “this sidebar is a one-off flyer” — not for dropping Docs body text into a house report.
What typically survives the HTML hop

Mystery fonts and “Normal (Web)”
Docs HTML names fonts Word may substitute. That is the mystery-font stack: Why Pasted Text Brings Mystery Fonts With It.
Normal (Web) appears because Word created a paragraph style to approximate a web paste. Select those paragraphs and apply Normal. Then Ctrl+Space / Ctrl+Q to drop leftover direct formatting.
Punctuation and hidden characters
Docs often already contains curly quotes and em dashes. Keep Text Only will keep them. Convert only if the Word house style wants straights: Smart Quotes, Em Dashes, and Other Paste Traps.
Soft hyphens are less common in Docs than on news sites, but imported web text into Docs can carry them forward. Strip Tracking and Soft Hyphens From Copied Text.
History will replay the messy HTML
If clipboard history is on, the Docs copy is a text + HTML card. Clicking it in Win+V is another Keep-Source-ish paste. After a good Keep Text Only, copy the cleaned Word paragraph if that wording must be reused. The new card is closer to plain.
Limits remain: 25 items, 4 MB, restart wipe except pins. Do not pin a 15-page HTML paste.

Comments, suggestions, and “where did the review go?”
Clipboard hops drop Docs comments and suggestions. If the reason for leaving Docs is a Word-using counsel, export .docx and confirm whether comments survived. If they did not, leave the review in Docs or use Word’s own commenting after export — do not try to copy comment threads by hand through Win+V.
Suggested edits that were not accepted will not become Word tracked changes via Ctrl+C. Accept or reject in Docs first, or export and see what the converter did, then tell reviewers the rule.
Headers, footers, and page numbers
Docs page numbers and headers do not travel on a body copy. They are section chrome. After export, rebuild them in Word (Insert > Header/Footer). After a paragraph paste, they are irrelevant — the destination document already has its own.
Bookmarks and table of contents
Docs headings that become Word headings sometimes rebuild a TOC; a clipboard hop almost never does. After a .docx export, use Word’s References > Table of Contents on the mapped heading styles. After a paste, do not expect a TOC field to appear. Rebuild it.
Footnotes and equations
Docs footnotes copied as part of a paragraph may arrive in Word as unmarked superscripts without a notes section, or not at all. Equations (Docs’ editor or images) usually become pictures. For a paper, export .docx and inspect footnotes in Word’s References pane. For a one-paragraph quote, copy the body only and cite the source in the destination’s own footnote tool.
Do not rebuild a 40-footnote chapter through Win+V.
Images and drawings
A Docs drawing or an inline image may copy as a bitmap (sometimes) or as nothing useful. For a figure that must live in Word:
- Download the image from Docs (right-click the image → Save, or export).
- Insert the file in Word.
- Do not rely on a clipboard bitmap if print quality matters.
History may store that bitmap if it is under 4 MB. That is a convenience for the next five minutes, not the figure archive.
Collaboration habits that reduce chaos
- Agree which tool is source of truth. Ping-ponging the same manuscript Docs → Word → Docs every afternoon is how comments die.
- For citations, use a reference manager export, not a highlighted Docs bibliography paste: How to Copy a Clean Bibliography Entry.
- For reusable legal language, put it in an expander, not in a Docs comment someone copies weekly: When You Need Snippets, Not Clipboard History.
A local shelf such as Edge-Drop can hold the downloaded .docx and a screenshot of a stubborn table. It will not reconcile Docs styles with a Word template.
