How to Copy From Notion, Obsidian, and Roam Without Losing Format

Personal knowledge apps do not share a clipboard dialect. Notion is a block editor that usually publishes HTML. Obsidian is a Markdown vault; copy from the editor often includes asterisks, while copy from Reading view offers rendered text plus HTML. Roam (and similar outliners) copies bullets and [[wikilinks]] as text that only Roam loves.
The destination decides the pain. Word wants styles or none. Slack wants line breaks. Another Markdown file wants raw marks. This guide matches copy surface to paste command.
Notion
Notion’s help on writing and editing describes selecting inside a block for partial text and dragging from the margin for whole blocks. A multi-block copy typically places:
- HTML that approximates headings, lists, to-dos, callouts
- Plain text that may include extra blank lines
- Sometimes a Notion-specific payload other apps ignore
To Word / Outlook / Google Docs
Treat it like a web copy. In Word use Keep Text Only unless a short list must survive. Docs: Ctrl+Shift+V. Then apply destination styles. The Docs-to-Word lessons apply: Copying From Google Docs to Word Without Chaos.
Callouts, databases, and synced blocks will not become Word content controls. Recreate or screenshot. Screenshots of another product’s UI have legal limits if republished: UI Inspiration: Collecting Interface Shots Legally.
To Markdown (Obsidian, a git repo)
Paste into a Markdown editor and expect imperfect conversion. Notion can paste Markdown reasonably (the Markdown Guide’s Notion page notes paste works better than live typing for some syntax). The reverse — Notion out to clean Markdown — often needs:
- Notion’s Export → Markdown & CSV for a page or workspace, or
- A dedicated converter, or
- Manual cleanup of leftover HTML entities
Do not trust a 40-block clipboard hop as a migration.
To Slack
Notepad scrub, then paste. Or Slack code block if the page was a spec. Line breaks: How to Keep Line Breaks When Pasting Into Slack.
Obsidian
Obsidian’s forum-documented behavior (and the usual user expectation):

If the destination is another Markdown file, copy from Editing view.
If the destination is Gmail or Word, copy from Reading view, then Keep Text Only — or install a maintained “Copy as HTML” community plugin if the team has reviewed it. Plugins are extra clipboard writers; treat them like extensions.
Paste into Obsidian from a browser converts HTML to Markdown in current versions (the project has documented HTML-to-Markdown paste). Ctrl+Shift+V pastes as raw text / raw HTML depending on version and settings — confirm on the installed build. When the chord is “paste without conversion,” it is the opposite of Docs’ meaning. App collisions: Ctrl+Shift+V Does Not Work Everywhere.
Wikilinks ([[Note]]) are useless in Word. Replace them with titles or URLs before a handoff.
Roam and other outliners
Roam copies tend to preserve indentation as tabs or bullets and keep ((block refs)) and [[page]] syntax. Destinations:
- Another outliner — often fine
- Word — Keep Text Only, then apply a list style; strip
[[]]with Find - Markdown — may need a converter; do not assume GFM
Block references that look like ((uid)) are meaningless outside Roam. Expand them in Roam before copying if the quote must stand alone.
Mentions and people tags
Notion @person and Roam [[@name]] mentions become text or broken tokens outside the app. Replace them with a real email or a role (“the designer on the ticket”) before the handoff. A teammate who does not have Notion will not receive a notification from a pasted mention.
Attachments and internal images
Obsidian images live as files in the vault. Copying the  line does not put the PNG on the Windows clipboard as a bitmap. Copy the file from the vault folder, or open it and copy pixels. Notion-hosted images may copy as HTML <img> pointing at a temporary URL that expires. Download the file if the figure must survive.
Code blocks inside PKM notes
A fenced block in Obsidian should be copied from Editing view so the destination can keep the fences. Copying from Reading view may yield a styled <pre> that Word turns into a proportional paragraph. Notion code blocks similarly become HTML <code> / <pre>. For a developer handoff, copy source fences or use a gist. For a manager handoff, paste as text and say “see attached file.”
Shared cleanup
Regardless of app:
- Decide whether the destination wants Markdown marks, HTML, or plain prose.
- Choose the copy surface (source vs reading vs export).
- Choose the paste command (Keep Text Only vs Keep Source vs app-specific).
- Strip tracking and soft hyphens if the text came from the web into the PKM first: Strip Tracking and Soft Hyphens From Copied Text.
- Do not use Win+V as the PKM. History is 25 items, 4 MB, restart wipe except pins.

Databases, embeds, and toggles
Notion databases do not copy as Excel tables. A selected set of rows may become a flattened list or a picture-like HTML table that Word mangles. Export CSV from the database view, then open in Excel. That is a file hop, which Win+V will not represent.
Toggles and nested pages copy as headings plus body if expanded, and as a title only if collapsed. Expand first.
Embeds (Figma, Google Maps, a tweet) copy as a URL or a caption, not as the live embed. Paste the URL on purpose.
Obsidian embeds (![[note]]) copy as syntax. Word will show the characters. Resolve embeds in Reading view before a non-Markdown handoff.
Tags, properties, and frontmatter
Obsidian YAML frontmatter copies as source text if selected. That is correct for another vault and noise in Word. Select from the first heading downward when the audience is human.
Notion properties (status, owner, date) do not copy as a definition list unless they are on the page as text. Screenshot the property row if the handoff needs it, or export.
Roam attributes (Author::) look like definitions. They paste as plain text. Fine for notes; strip the :: for Word.
A one-page handoff checklist
Before sending PKM text to someone who does not use the vault:
- Copy from the rendered surface if they need prose; from source if they use Markdown.
- Replace wikilinks with titles or public URLs.
- Export or screenshot any database.
- Paste with Keep Text Only unless a short list must keep marks.
- File the result in their system (Word, ticket, email). Do not say “it’s in my Roam.”
History, expanders, notes
The PKM is the notes layer. Clipboard history is the recents layer. An expander is the canned-reply layer. Mixing them is how a Notion page becomes “the place we pin signatures.” Keep signatures in PhraseExpress / TextExpander / Espanso: Clipboard Manager vs Text Expander vs Notes App.
Edge-Drop can hold a Markdown export file and a PNG of a Notion database view for drag into a ticket. It is not an outliner.
