How to Duplicate a Paragraph Without Reformatting It — Edge Drop Guide

The goal is a second copy of the same paragraph, same style, same list level, same language. The usual instinct — select, Ctrl+C, click elsewhere, Ctrl+V — works inside one app more often than across apps. The failure mode is a clipboard hop that republishes HTML, which the destination then merges as if the text came from the web.

This guide stays inside Word, Docs, and a few editors, then says when the clipboard should stay out of it.

Prefer a command that never leaves the document

Word

Several in-document moves keep styles intact because they are not a general clipboard paste:

  • Drag the selected paragraph with the mouse (or Ctrl+drag to duplicate) inside the same document.
  • Enter at the end of a styled paragraph — Word continues that style. Type or paste Keep Text Only into the new paragraph if the *words* come from elsewhere.
  • Repeat the last action (F4 / Ctrl+Y) after a careful insert, when it applies.
  • For a heading plus body block, use Building Blocks / Quick Parts if the block is reused weekly — that is a snippet, not history. When You Need Snippets, Not Clipboard History.

If a clipboard paste is required inside the same Word document, Keep Source Formatting is usually correct: the source *is* this document. Microsoft’s paste options still apply when the cursor sits in a paragraph whose style disagrees; Merge Formatting will restyle to the destination paragraph. Place the cursor in a paragraph that already has the desired style, or paste then apply the style from the gallery.

Ctrl+Space and Ctrl+Q after a bad paste drop direct formatting and paragraph overrides. They will also drop italics that were intentional. Use them as cleanup, not as the duplicate method.

Google Docs

Docs continues the current named style on Enter. Duplicate by:

  1. Select the paragraph (triple-click).
  2. Ctrl+C.
  3. Place the cursor in a paragraph of the same style (or on an empty line that still has that style).
  4. Ctrl+V — not Ctrl+Shift+V. Shift+V would strip the bold and links that were part of the paragraph.

Docs shortcuts: Ctrl+V paste, Ctrl+Shift+V paste without formatting. The second command is the opposite of “duplicate with formatting.”

Notion / Obsidian

Notion: duplicate the block (block handle → Duplicate) instead of copying text to the system clipboard and back. Notion’s editor help covers block selection versus in-block text. A block duplicate keeps the block type (callout, heading). A clipboard hop may flatten it.

Obsidian: in Editing view, copy the Markdown source and paste in Editing view. That duplicates marks (**, lists) without asking Word to invent styles. Copying From Notion, Obsidian, and Roam.

When the clipboard round-trip restyles

A hop through another app (browser, Slack, email) replaces the in-app duplicate with a web-like copy:

  1. Word/Docs publish HTML + text.
  2. Slack stores a subset.
  3. Copy from Slack.
  4. Word pastes as Pasting from other programs (default Keep Source), which is now Slack’s HTML, not the original style.

Lists, numbers, and “the clone restarted at 1”

Word list numbering is a list object, not just a bullet glyph. Pasting a list item can:

  • Continue the list (desired)
  • Start a new list at 1 (common after a hop)
  • Produce List Paragraph plus a leftover indent

Fix: click the pasted item → numbering dropdown → Continue from previous. Or paste as text and reapply the list style. Microsoft’s paste article notes that Keep Text Only can still keep bullets/numbers unless that checkbox is cleared in Options > Advanced.

History is the wrong duplicate tool

Win+V can retrieve a paragraph copied earlier in the session (25 items, 4 MB, HTML/text/bitmap, unpinned wiped on restart). Clicking the card is a paste, subject to all the rules above. It will not “duplicate in place” and it will not remember the Word style name.

If the need is “I wrote this last week,” that is search in the document or a notes app, not clipboard archaeology: Find a Sentence You Copied Last Week.

Reusable paragraphs (bios, closings) belong in an expander: Building a Small Library of Reusable Replies.

A local shelf such as Edge-Drop does not duplicate Word styles. Use it for files, not for cloning Heading 2.

Cross-document clone (the honest hard case)

Duplicating into a different Word file with a different template will restyle on Merge and look foreign on Keep Source. There is no clipboard trick that maps “Heading 2 in template A” to “Heading 2 in template B” by name unless both files share the style definitions.

Procedure:

  1. Paste with Keep Text Only.
  2. Apply the destination Heading 2 / Body.
  3. Reapply bold on the few words that need it.

Keep Source is only right when the two documents already share the template (same normal.dotm customizations, same attached .dotx). If they do not, Keep Source imports a second set of style names and the file becomes harder to maintain.

Track changes and comments on the clone

If Track Changes is on, a clipboard paste is recorded as an insertion. A same-doc drag-duplicate may also show as a delete+insert depending on version. For a clone that should not look like a review edit, turn Track Changes off, duplicate, turn it back on. Comments attached to the original paragraph do not copy with the text. Recreate them if the clone needs the same note.

Language and spelling dictionaries

A cloned paragraph should keep the language mark (English UK versus US, or a second language). Word stores that as direct formatting or as part of the style. A Keep Text Only paste into a US-English paragraph will recheck a UK quote with the wrong dictionary. After a same-doc Keep Source duplicate, language usually survives. After a hop through Slack, set Review > Language explicitly.

Keyboard-only duplicate in Word

  1. Ctrl+Up/Down to move by paragraph.
  2. Ctrl+Shift+Down to select the current paragraph.
  3. Ctrl+C.
  4. Ctrl+Down to the insert point, or Ctrl+End.
  5. Enter if needed to create a paragraph with the current style.
  6. Ctrl+V, then K or M or T if the Paste Options widget is up (Keep Source / Merge / Keep Text Only).

Practice this once. It is faster than the mouse and avoids dragging the selection into the wrong list.

A reliable Word recipe

  1. Triple-click the paragraph.
  2. Ctrl+C.
  3. Click at the insert point. If the style pill (the box on the Home tab) is not the desired style, apply it first on an empty paragraph.
  4. Ctrl+V. If Paste Options appears, choose Keep Source Formatting for same-doc clones, Merge only when joining a different style on purpose.
  5. If numbering broke, Continue from previous.
  6. Do not bounce the text through Outlook “to look at it.”
