How to Copy a List and Keep the Bullets

A list is not only lines of text. In Word, Outlook, and most web editors it is a structure: a paragraph style, an indent level, and a bullet or number definition. Copy places that structure on the clipboard as HTML (and often RTF) plus a plain-text fallback. The destination then chooses.
When the destination understands lists, bullets survive. When it wants plain text, bullets become -, *, •, 1., or nothing. That is not Windows “losing” the list. It is the fallback flavor doing its job.
Windows clipboard history will store the text and HTML (up to 4 MB per item, 25 items, unpinned items gone at restart). The Win+V preview is usually a short text snippet without indent. Pasting from history into Word can still restore a real list if the HTML is still on that item.
This playbook shows which path to take for Word, Outlook, Google Docs, Slack, Teams, Markdown, and Notepad.
What is actually copied

How Windows treats rich text versus plain text is the model. Right-click copy vs Ctrl+C matters on the web: a context menu “Copy” on a selected list usually still copies the same HTML, but a site’s custom “Copy list” button may copy something else.
Nested lists are the fragile part. One extra paste-as-text hop and the indent is gone.
Word to Word, Outlook, or PowerPoint
This is the easy path.
- Select the whole list, including the last paragraph mark if possible.
- Copy.
- In the destination, paste with Keep Source Formatting if the bullet style (glyph, indent, spacing) must match.
- Use Merge Formatting if the list should adopt the destination’s bullet style but keep levels.
- Use Keep Text Only only when the list should become ordinary paragraphs.
Microsoft documents those three Word paste options under “Control the formatting when you paste text.” Keep Text Only discards list structure on purpose.
If a paste lands as one paragraph with embedded symbols, Undo and try Keep Source Formatting. If it lands as a table, the source was probably a webpage using a table for layout, not a list.
Outlook message bodies use the same engine on desktop. For a signature that includes a list, do not keep rebuilding it from the clipboard. Email signatures: clipboard is a bad home.
Word or Docs to Slack, Teams, or Discord
Chat apps flatten. Official Slack help notes that with the markup composer preference, copied-and-pasted messages appear as plain text. The WYSIWYG composer accepts some rich paste, but Word’s list styles are not Slack list styles.
Practical sequence:
- In Word, convert the list to a simple style: one level, default bullets.
- Copy.
- Paste into Slack. If bullets vanish, Undo.
- Paste into Notepad, prefix each line with
-(Markdown-style), copy that, paste into Slack. Many workspaces then treat those as lists or at least as readable lines. - For Teams, try the paste, then use Teams’ own bullet button on the selected lines if the structure dropped.
How to keep line breaks when pasting into Slack is the line-break half of the same problem. A list without line breaks is a paragraph.
Do not paste a 40-item Word list with custom glyphs into a stand-up channel. Recreate three items or link to the document.
Webpage to Word or Excel
Web lists are often real <ul> elements. They can also be <div> stacks, CSS ::before bullets, or images of dots.
- Select the rendered list, not the whole article.
- Paste into Word with source formatting.
- If bullets are missing, the site used CSS, not list markup. In Word, select the lines and click Bullets.
- If the goal is a spreadsheet, paste into Excel. Expect one column of text with
•prefixes, not a structured outline. UseSUBSTITUTEto drop the symbol, then Text to Columns if needed.

Markdown destinations (GitHub, Obsidian, many docs)
Markdown lists are characters. HTML bullets are not Markdown.
Options:
- Paste as plain text and add
-or1.manually. - Use PowerToys Advanced Paste Paste as Markdown when the clipboard holds HTML. Microsoft’s sample converts
<b>,<i>, and links; list conversion quality depends on how clean the HTML was. Check the result. - In VS Code, a regex can prefix lines: find
^(.+)$, replace- $1, after deleting blank lines.
Markdown on the clipboard: who understands it is the full destination map.
When bullets become asterisks, numbers, or nothing

Ctrl+Shift+V (plain text) *causes* several of these on purpose. Use it when the destination’s list style should win and the operator will reapply bullets. Ctrl+Shift+V does not work everywhere.
History is a bad outline manager
Win+V may show • first item… and hide the rest. That is a preview limit, not a lost list. Paste into Word to see levels.
Limits that still apply:
- 25 items. Copying each list item separately is how the outline disappears.
- 4 MB. A huge HTML list from a web app can fail to join history while still pasting as the live clipboard item.
- Restart wipe for unpinned items. An outline needed tomorrow belongs in a file.
- Files are not history items. Copying
notes.docxin Explorer is a file list, not the bullets inside the file.
Copy the whole list as one item. Do not copy item 1, then item 2, then item 3, expecting history to reassemble an outline. How to copy more than one thing at a time on Windows is about multiple payloads, not about reconstructing lists.
If several lists must sit next to a draft (agenda, packing list, talking points), a notes file or a local shelf is more honest than three pins. Edge-Drop can hold those cards for a session. It will not invent Word list styles the destination refuses. A .md file with - prefixes survives reboot and diffs.
Rebuild playbook (when paste already failed)
- Undo the bad paste.
- Paste into Notepad. Confirm each item is on its own line.
- Delete leftover
•,·, oroprefixes if they are inconsistent. - Copy the clean lines.
- In Word or Outlook, paste as text, select the lines, click Bullets or Numbering.
- In Markdown, prefix
-. - In Slack, apply the composer’s list button if the workspace has one.
Microsoft Outlook’s own help for messages is: select paragraphs > Message tab > Bullets or Numbering. That is the reliable last step when the clipboard cannot carry style.
For numbered lists that must restart at 1, use the destination’s “set numbering value” rather than typing 1. as text. Typed numbers will not renumber when an item is inserted.
