Smart Quotes and Em Dashes: How to Stop Paste From Mangling Text
By Khushi Yadav
Typographic punctuation is not a clipboard bug. Smart quotes (“ ” ‘ ’), em dashes (—), en dashes (–), and ellipsis (…) are real Unicode characters. Writers want them. Compilers, YAML, and JSON do not. The trap is Word and Outlook changing characters after a paste, or a website already shipping curly quotes that then land in a terminal.
Microsoft’s support article “Smart quotes in Word and PowerPoint” is the official on/off path. This guide adds the other AutoFormat traps and a keep-or-kill rule.
Turn smart quotes on or off (Word)
Microsoft’s steps:
- File > Options.
- Proofing > AutoCorrect Options.
- Tab AutoFormat As You Type.
- Under Replace as you type, select or clear "Straight quotes" with “smart quotes”.
Outlook desktop: File > Options > Mail > Editor Options, then the same Proofing path.
There is a second tab, AutoFormat (not “As You Type”). That one applies when Word runs a bulk AutoFormat. For daily paste-and-type, As You Type is the switch that bites.
Microsoft also notes a quote-after-em-dash behavior in current Word (a quote following — treated as an opener). If a manuscript’s quotation style looks wrong only after dashes, this is the article to reread — not the clipboard.
Other AutoFormat replacements that wreck strings
On the same AutoFormat As You Type tab, treat these as dangerous near code or identifiers:
| Option (wording varies slightly) | Typical mutation | Breaks |
|---|---|---|
| Hyphens with dash | -- → — | CLI flags, YAML, markdown em-dash intent |
| Fractions | 1/2 → ½ | Ratios, paths |
| Ordinals | 1st → 1ˢᵗ | Filenames, IDs |
| Internet and network paths with hyperlinks | URL becomes a field | Copying the field later |
| *Bold* and _italic_ with real formatting | Markdown-like input becomes styles | People writing markdown in Word |
Keep Text Only stops fonts. It does not prevent Word from AutoFormatting after the text is in the document. Paste, then immediately type a quote, and As You Type can still curl it.
Google Docs and the web
Docs and many CMSs already store curly quotes. Ctrl+V into Word imports them as characters. Ctrl+Shift+V still keeps the curly characters because they are not “formatting.” To get straight quotes:
- Find
“”and replace with" - Find
‘’and replace with' - Or paste through an editor that can convert
Docs’ own Paste without formatting (shortcut list) only strips styles.
Ellipsis versus three dots
Word’s AutoFormat can turn ... into a single ellipsis character (U+2026). In prose that is correct. In a CLI example that means “more arguments here,” three ASCII dots are clearer and safer. After a paste, scan for … in any block that a reader might copy into a shell.
Minus, hyphen, and dash in numbers
A temperature or a negative number copied from Word may use an en dash or a minus sign (U+2212) instead of the ASCII hyphen-minus. Spreadsheets and parsers may reject it. Keep Text Only keeps the character. Replace U+2212 and U+2013 with - when the destination is data, not prose.
Keep versus kill
| Destination | Quotes | Dashes |
|---|---|---|
| Novel, memo, press | Smart quotes, em dashes | Keep |
| Academic paper (style-dependent) | Follow the style manual | En dash for ranges is often required |
| Source code, JSON, SQL | Straight only | Hyphen-minus U+002D only |
| Terminal | Straight only | Hyphen-minus |
| Citation manager export | Usually straight or style-defined | Do not “pretty up” BibTeX |
Code-specific paste: Pasting Code Into Word, Email, and Chat.
How they get on the clipboard
- Typed in Word with smart quotes on — the clipboard HTML and Unicode text already contain U+201C etc.
- Copied from a CMS — the page used
“ - Copied from a PDF — the extractor mapped fonts to Unicode punctuation
- Win+V replay — history stores the text (and HTML) you copied, including those code points, for up to 25 items, 4 MB, wiped on restart if unpinned
There is no Windows switch labeled “store straight quotes only.” Conversion is an editor job.
Bulk convert in Word
To apply smart quotes to a document that has straights (Microsoft-community standard method):
- Ensure As You Type smart quotes is on.
- Ctrl+H. Find
"replace with". Replace All. Word curls them by context. - Repeat for
'.
To strip smart quotes:
- Turn smart quotes off.
- Find each curly character and replace with the straight ASCII equivalent. Do not replace
"with"while the option is still on — Word will curl them again.
For a one-off string, Notepad and a careful replace are safer than Word.

JSON, YAML, and “it looked quoted”
A config file that used curly quotes around keys is invalid. The error message may say “unexpected token” and point at a character that looks like ". Check the code point:
- U+0022
"— ASCII quotation mark (correct for JSON) - U+201C
“/ U+201D”— smart doubles - U+2018
‘/ U+2019’— smart singles; U+2019 is also a common apostrophe in Word
In VS Code, put the caret on the character and look at the status bar or use a “inspect character” extension. In Word, Alt+X after selecting a character shows the hex code (then Alt+X again to toggle back).
Replace the four smart quotes with ASCII in any file that a parser will read. Leave them in the novel.
Autocorrect entries that are not quotes
Word’s AutoCorrect list also turns (c) into ©, ... into …, and various smileys into emoji. Those fire after paste when the cursor sits at the end of the inserted run. Ctrl+Z once often reverts only the AutoCorrect, leaving the paste. If a code sample contains (c) as in a compiler flag, disable that replace or type a space and undo.
Inspect File > Options > Proofing > AutoCorrect Options > AutoCorrect tab for the list. Organization-managed Word may lock this list; then Keep Text Only plus an immediate undo is the local workaround.
PowerPoint and “the slide looks professional”
PowerPoint shares Word’s smart-quotes setting (Microsoft documents both apps together). A slide full of command-line examples will curl quotes the same way. For speaker decks that include commands, turn the option off for the session or paste into a text box that uses a monospaced font after a Notepad scrub. Design polish and compilable text are different jobs; do not make one text box do both.
Expanders and snippets
If a canned reply must contain a typographic em dash, put the real — in the expander snippet (PhraseExpress, TextExpander, Espanso) so every insert matches. If the same snippet is used in a terminal, keep a second, straight-ASCII snippet. Do not rely on Word to convert at paste time. Libraries: Building a Small Library of Reusable Replies.
Edge-Drop will store whichever characters were copied. It will not normalize punctuation. That is the correct behavior for a shelf.
