How to Get Slide Exports Into PowerPoint

Agency decks fail in the last mile: a Figma frame becomes a screenshot, the screenshot becomes a Slack bubble, the bubble becomes a paste in PowerPoint, and the projector shows mush. Microsoft documents two honest construction methods: build the slide in PowerPoint (duplicate, Slide Master, Insert Pictures) or insert a picture file. The Windows clipboard is a temporary wire. It is not a slide library.
History holds 25 text / HTML / bitmap items under 4 MB, wiped at restart except pins. A 1920×1080 slide PNG often misses history. Design the habit around files and masters, not Win+V.
Decide what the deck *is*

Duplicating a slide inside PowerPoint (Ctrl+D / Duplicate Slide) preserves editable text, animations, and the master. Exporting a Figma frame and inserting it is correct when the slide was never native. Mixing them blindly — pasting a bitmap of a native slide back into the same deck — is how text becomes unsearchable.
Microsoft's "Insert a picture in PowerPoint" training: Insert > Pictures, then This Device / Stock / etc. PowerPoint for the web: paste pictures in-app; pictures copied from Outlook may not paste — save the file, then Insert. That vendor note is the whole philosophy.
From Figma
Official Figma export: select the 1920×1080 (or 16:9) frame, Export PNG (or PDF). Copy as PNG is 2× — a 3840-wide bitmap for a 1920 frame — which is fine for a sharp insert if the file size is acceptable, and wasteful if everyone then resaves as JPEG. Prefer the Export panel with an explicit 1x at slide pixel size, or 2x if the room has a 4K display and the file budget allows.

Insert in order. Do not paste from Win+V. Desktop versus web Figma can change what a paste into PowerPoint receives; an export file does not care. Figma Desktop vs Figma Web: Paste Behavior Differs.
If the deck must stay editable, do not export the whole slide as a flattened PNG. Export only the illustration, Insert it, keep headlines as PowerPoint text.

From Photoshop and Illustrator

Illustrator clipboard preferences affect paste into other Adobe apps. For PowerPoint, export PNG or EMF/SVG as the version supports, then Insert. Do not assume vectors survive Win+V.
Charts and data
A screenshot of a Google Sheet is the chat-preview problem. Avoiding Compressed Chat Images in Final Decks. Prefer a native PowerPoint chart or an exported SVG/PNG from the chart tool at 2×. If the number will change the night before, keep the chart native.
What to put on the clipboard during build
- Speaker names and titles as text
- The share URL
- One hex
- Nothing that is a full slide bitmap unless it is a five-second check
Pin the talk title if it is typed twenty times. Do not pin client slides on a shared laptop. Photographers: Culling Is Not Copy-Paste if the deck is full of selects — those are exports from the catalog, not Loupe screenshots.
Animation and video
A pasted GIF may play in PowerPoint depending on format and version; an inserted video file is the supported path for anything that matters. After Effects stills: Save Frame As for a poster frame; do not recapture the Slack review. Motion Designers: Still Frames and Loop GIFs.
Canva presentations
Canva can present or download PPTX/PDF. Official Canva: desktop app matches the browser editor. Download the PPTX if teammates must edit in PowerPoint, then fix fonts. Do not screenshot Canva Present into a second deck. Canva Desktop vs Canva Web Clipboard Limits.
QA on a real display
- Project or use a second panel at the target resolution
- Look at type weight and photo grain
- If a slide is soft, check whether the picture is 1200 px wide on a 1920 canvas — replace from the export folder

A hover shelf can hold the next three PNG slides for Insert-via-drop if PowerPoint accepts the file drop. Edge-Drop is optional. The Slide Master is still the right home for repeated chrome.

Worked example: a 14-slide product launch
- Slide Master: logo from
brand/logo-color.svgor PNG, footer text native - Slides 1–8: native titles + bullets
- Slides 9–12: Figma frames exported

- Slide 13: native chart linked to a table the PM can edit
- Slide 14: team photo from Lightroom export, not a Zoom screenshot
- Speaker notes hold URLs as text (fine to pin)
Review on a 1080p display. If slide 10 is soft, replace the file. Do not sharpen a paste.
Troubleshooting

Build native when the deck is words. Insert files when the deck is art. Duplicate slides when the deck is already PowerPoint. The clipboard can carry a title. It cannot carry the keynote.
Windows limits in slide production
A 1920x1080 PNG is often near or over 4 MB as a DIB. It will paste once and never join history. Building a 30-slide keynote from Win+V is therefore impossible even before quality is discussed.
Insert Pictures from deck-acme-q3\. Duplicate native slides inside PowerPoint. Pin the talk title if it must be typed on every speaker-note page. Leave client slides unpinned. After rehearsal, clear history so the unused alt crops are not still sitting on a loaner laptop.
Version the export folder when the story changes (deck-acme-q3-v2\) instead of overwriting blindly if legal already reviewed v1. Speaker notes can say which file belongs on the slide. That is still easier than reconstructing a slide from a Slack thread. If the talk is bilingual, keep native text so translation is not a Photoshop job. Flattened PNG slides block last-minute word changes. Use them only when the art cannot be native.
Before the walk-on, open the deck on the actual output machine. Missing fonts and missing linked pictures show up there, not in Win+V. If a picture is missing, it was never inserted as a file in the PPTX -- it was a paste that another computer cannot find. Insert from the export folder on that machine and save. Then delete unpinned history so unused alts are not still on the loaner.
