How to Keep Font Files With the Specimen Image — Edge Drop Guide

A typeface is two objects that teams keep splitting: the licensed font file (OTF, TTF, WOFF2) and the picture of how it looks. Designers copy the specimen into Slack. Developers never receive the file. The foundry's license never sits next to either. Windows cannot fix that. Clipboard history stores text, HTML, and bitmap, 25 items, 4 MB each. A font file copied in Explorer is a file list, not a history card. A specimen screenshot is only a picture.

The playbook is a mixed stack on disk: foundry-family-weight.otf + foundry-family-specimen.png + LICENSE.txt in one folder, or one DAM item with those attachments.

Windows Clipboard History Does Not Store Files. Pinned Win+V Items Are Not a Real Library.

Installing a font on Windows is a separate OS action (right-click Install, or Settings > Personalization > Fonts, or an enterprise font store). A paste will not install a typeface into Photoshop or Figma. Figma uses fonts available to the file / computer / shared org fonts as Figma documents in its font help — it does not ingest an OTF from Win+V.

The folder contract

Rules:

  • One family per folder
  • Specimen shows the actual installed weights at a readable size, with the legal name in the image
  • LICENSE.txt is the foundry PDF or a short note with the purchase URL and whether web/app/embed is allowed
  • css-notes.txt holds the stack: "Acme Sans", "Inter", sans-serif and any font-feature-settings the brand requires
  • Do not keep a second unofficial TTF "because it looked the same"

The specimen is for humans who should not install every file to know which folder is which. The OTF is for installers and build pipelines. The license is for the argument that happens six months later.

How to make the specimen without lying

  1. Install the licensed files on a working machine (or use the foundry's official specimen PDF)
  2. Set a text frame in Illustrator, InDesign, Affinity, or Figma using that family
  3. Include: family name, weights, a paragraph, numerals, and a few language samples the brand needs
  4. Export PNG (sRGB) at a modest size — this is a preview, not a poster. A 4K specimen may miss the 4 MB history cap if anyone copies it; that is fine because the PNG should live on disk
  5. Name specimen-acme-sans.png to sort next to the OTFs

Do not screenshot a Google Fonts page of a *lookalike* and drop it next to a retail OTF. The picture must be the file.

DAM and Adobe Libraries

Eagle and Billfish preview fonts and images. That is why they beat a folder of mystery OTFs: the specimen can be the preview thumbnail and the OTF sits in the same item or folder. Eagle, Billfish, and Asset Managers vs Clip History.

Creative Cloud Libraries can include fonts in some Adobe brand/library workflows — use Adobe's current Libraries / Brands documentation for what element types the account supports. Do not assume every OTF dragged into a library is licensed for every teammate. Libraries are still better than Win+V for a shared Adobe shop.

Figma. Upload or organize team fonts through Figma's official font mechanisms. A pasted specimen PNG in a cover page helps humans; it does not activate the typeface.

Handoff

Developers need WOFF2 (usually) plus a license that allows web use, plus the CSS stack. They do not need a 25-item clipboard of bitmaps. Put the webfonts in the repo or the foundry-hosted CSS, and link them in the ticket. How to Hand Assets to a Developer Without Slack Soup.

Never Slack the OTF as font.otf without the license. Many foundry licenses restrict sharing that way. A link to the company font store or the legal drive is the correct message.

Print shops need the fonts embedded in the PDF or provided per their package instructions — not a specimen paste. Working With Print Shops: PDF First, Clipboard Never. InDesign Package collects fonts when the license and Adobe's packager allow it.

What may live in Win+V

  • The CSS stack string
  • The exact family name (Acme Sans versus AcmeSans)
  • A single hex that must match a type specimen's ink color

Pin those during implementation week. Do not pin a specimen bitmap as if it were the font. Clear on Friday.

A hover shelf can hold the folder or the two files (OTF + PNG) for a drop into a project directory. Edge-Drop is optional for that mixed stack. It will not install fonts and it will not preview OpenType features. If the studio already uses Eagle for type, drag from Eagle.

Variable fonts and webfonts

A variable TTF/OTF is still one file (plus license, plus specimen). Show the axes on the specimen (weight min–max) so nobody exports twenty statics by mistake. WOFF2 is a different file for the web. Keep both if the license allows both; do not rename .otf to .woff2.

Color / SVG / COLR fonts may not appear in every app. The specimen should be generated in an app that actually supports the format, or the picture will lie.

Checklist

  • Licensed files in a named family folder
  • Specimen PNG generated from those files
  • LICENSE next to them
  • CSS stack as text
  • DAM or git, not the desktop
  • Win+V holds strings, not OTFs
  • Slack gets a path, not a naked font attachment, unless legal said so

Worked example: adding a retail sans to a product

  1. Buy or pull from the company foundry portal
  2. Save OTFs + webfonts + license into type/acme-sans/
  3. Build specimen-acme-sans.png in Figma using the installed family
  4. Add "Acme Sans" to css-notes.txt
  5. Install on design machines via the official Windows font UI
  6. Activate in Figma through the team's documented font path
  7. PR the WOFF2 files only if the license allows repo hosting
  8. Slack the folder path and the CSS stack, not font.otf as a raw attach unless legal approved that channel

The pair is a folder. The clipboard can carry a name. It cannot carry a typeface.

Windows limits for type

Copying AcmeSans-Bold.otf in Explorer does not put an installable font into Win+V. History does not store files. A specimen PNG may appear if it is under 4 MB. That PNG cannot be installed. The official Windows path is still Settings or the font file's Install command.

Pin the CSS stack if it is typed often this week. Unpin on Friday so a retired family name does not keep shipping. The folder with OTF, WOFF2, specimen, and license is the stack that should travel to the next machine.
