How to Keep Reference Images Beside Blender

How to Keep Reference Images Beside Blender — Edge Drop Guide

Modeling from a pile of concept art is a file problem dressed up as a paste problem. Blender, Maya, and most DCC tools load image files onto reference empties, image planes, or a side viewer. They do not subscribe to Windows clipboard history. A 4K concept sheet will not survive Microsoft's 4 MB history cap even if it pastes once as the live bitmap. Twenty-five Win+V slots will not hold a character turnaround.

The working pattern is a side stack of named stills: collect, crop, save, then Add > Image > Reference (or Background) in Blender. Paste is for notes and small UI grabs, not for the ortho sheet.

What Blender officially loads

Blender's manual documents Reference and Background image empties under Add > Image. Both create an empty that displays an image in the 3D Viewport. The practical difference is default Depth, Side, and Show In settings: Background is meant to sit behind the mesh in an ortho view; Reference is meant to sit in view as a drawing aid. Either one is a path to a file on disk.

Typical setup:

  1. Enter the ortho view that matches the drawing (Numpad 1 / 3 / 7).
  2. Add > Image > Background (or Reference).
  3. Pick front.png, side.png, top.png from the project ref\ folder.
  4. In the empty's image settings, enable Align to View if the add step did not already match the view.
  5. Set Depth to Back for underlays, Only Axis Aligned if the image should vanish in perspective.

Viewport Render (View > Render Viewport Preview) is for a quick look from the current view. The Blender 5.x manual notes Viewport Render works with Workbench and EEVEE, not Cycles. That is a preview file, not a clipboard workflow.

There is no supported "paste clipboard into Reference empty" as the primary path. Save the still, then add the image. If a paste appears to work in an Image Editor, it is still safer to Image > Save immediately so the empty has a path after restart.

Why Win+V is the wrong mood board

Microsoft's clipboard history:

  • Holds 25 items
  • Drops items over 4 MB
  • Stores text, HTML, bitmap — not PSD, EXR, or a folder of turnarounds
  • Clears unpinned items at restart

A single 4K PNG is often larger than 4 MB as a DIB. It can remain the live Ctrl+V payload and still never appear in Win+V. Why Your Huge Screenshot Never Appears in Win+V. Pins are not a library. Pinned Win+V Items Are Not a Real Library.

PureRef exists because artists already rejected the desktop-plus-clipboard mood board. PureRef's handbook describes a dedicated reference canvas: gather images, keep them close, stay out of the way. Mood Boards in PureRef vs a Clipboard Shelf is the comparison. For 3D, PureRef (or Eagle) is the side monitor. Blender is the viewport.

A side-stack that survives a reboot

Use a project folder, not the wallpaper:

shot-04/
  ref/
    concept-hero.png
    turnaround-front.png
    turnaround-side.png
    material-leather.jpg
    logo-client.png
  blender/
    shot-04.blend

Rules:

  • Name files for the view or the material, not image (12).png
  • Prefer sRGB PNG/JPEG for underlays; keep EXR/HDRI in a hdr\ folder and load them as worlds, not as clipboard bitmaps
  • Crop in an image editor before Add Image, so the empty is not hiding 80% unused pixels
  • When the art director sends a new sheet, replace the file on disk. Blender will reload the path; a pinned Win+V bitmap will not update

Keeping Brand Assets Off the Desktop and On a Shelf is the same naming discipline for logos that appear on 3D props.

Where paste still helps

Text. Reference URLs, poly budgets, and hex colors are text. History can hold them. Pin the hex list if it is used all week. Leave cloud sync off on a machine that holds unreleased film stills.

Small UI. A 200-pixel icon that must be rebuilt as a texture atlas tile can live in history if it is under 4 MB.

Photoshop / Affinity hop. Concept artists often paint over a viewport screenshot. Blender: View > Viewport Render Image, save PNG, open in Photoshop. After the paint-over, export a new PNG back into ref\. Do not Copy Merged a 4K paint-over and hope Win+V remembers it. How to Move an Export From Photoshop to a Browser Mock is the same export-then-drop idea. Affinity Photo and Designer on Windows: Paste Notes if the paint-over is in Affinity.

Figma for game HUD. HUD icons should become files or Figma components, then textures. Game UI Artists: HUD Icons on a Pull-Tab.

Do not drop the clipboard into the viewport and call it done

A bitmap paste into an Image Editor without saving creates a pack-or-lose problem. If the image is packed into the .blend, the file grows and the source of truth is now inside Blender. If it is not packed and never saved, the next machine cannot open the reference. Official practice is a file path the whole team can resolve.

For sculpting, keep PureRef always-on-top on the second display. Do not fight Blender's viewport for the same pixels. Reference empties are for proportion. PureRef is for look.

Lightroom is the wrong tool for a folder of concept JPEGs unless those JPEGs are a photography shoot. Lightroom: When the Clipboard Is Useless. Eagle or a simple ref\ folder is enough for mixed concept art. Eagle, Billfish, and Asset Managers vs Clip History.

Other DCCs, same rule

Maya image planes, 3ds Max background bitmaps, and Cinema 4D reference images all take files. Substance 3D Painter projects reference texture files. Unreal and Unity want imported assets in the project. None of them read Microsoft clipboard history as a texture library.

If the pipeline already has Perforce or Git LFS, put ref\ next to the scene and ignore it or track the finals only — team policy. The clipboard is never the remote.

Optional Windows extras

  • Enable Win+V for the text scraps around the session.
  • Use Win+Shift+S only to grab a menu or a bug, then save if it matters. Unpinned snips die at restart.
  • A hover shelf that drags files into an Image Editor or Explorer can shorten the hop from ref\ to the next app. Edge-Drop is optional for that drag. It does not load empties for you, and it is not a replacement for PureRef's infinite canvas.

Best Clipboard Setup for Photoshop Users applies when the paint-over lives in Photoshop. Figma Desktop vs Figma Web: Paste Behavior Differs applies when the concept originated in Figma — export PNG, do not expect vectors to survive the hop into Blender.

Session checklist

  1. Collect refs into project/ref/ with view names
  2. Open PureRef or a second viewer for look-dev
  3. Add Image > Background / Reference in each ortho
  4. Viewport-render to a file if a paint-over is needed
  5. Write new stills back to ref\, reload
  6. Clear unpinned clipboard history at the end of the day

Worked example: a vehicle model from three orthos

  1. Receive front.png, side.png, top.png from the concept artist as files in a zip. Extract to vehicle-a/ref/. Do not paste the zip preview.
  2. Open PureRef, drag the three files plus any material photos. Save vehicle-a/ref/vehicle-a.pur.
  3. In Blender, front ortho, Add > Image > Background, pick front.png, Align to View.
  4. Repeat for side and top. Enable Only Axis Aligned so perspective modeling is not fighting the sheets.
  5. Model. When a proportion is wrong, adjust the empty's scale; do not recopy a zoomed screenshot of the PNG into Win+V and paste it as a new empty.
  6. If the art director sends front-v2.png, replace the file on disk (same name) or retarget the empty. Reload the image data.
  7. Viewport Render a still to a PNG if a paint-over is requested. Save it. Open in Photoshop or Affinity. Export the paint-over back to ref\.
  8. At wrap, pack only what the pipeline requires. Keep ref\ in the shot tree so the next artist is not hunting history.

Troubleshooting

SymptomCauseFix
Empty shows a blank planePath broke after a folder moveRelink the image; do not paste a bitmap "to fix it"
Image is huge in the viewportDifferent pixel sizes / unscaled emptyScale to a known dimension (for example 2 m wheelbase)
Win+V missing the 4K sheetOver 4 MB or history offExpected; use the file
Packed .blend balloonedImages packed after a paste-saveUnpack to ref\, keep paths
Second machine missing refsOnly the .blend was copiedCopy ref\ too

The viewport is for the mesh. The side stack is for the pictures. The Windows clipboard is a 25-slot scratch pad that forgets at reboot. Design the 3D reference habit around files, and the paste key stops pretending to be a mood board.
